Forum Post: Variation in GL Account 45500-400

We've had a sudden transaction in the GL account that we can't track down.  It's not a significant amount but the accountants will bring hell over a few dollars, if not pennies.  Plus it also brings the issue of data reliability. We do monthly reports from the 12 month income statement that's a default report in Sage 50.  While trying to run the July reports, we see there's been a change in Shipping Charges Reimbursed(GL account 45500-400) in 4 separate periods.  There's been $6.25 subtracted from Period 3, then added to Period 4.  There's also been $0.75 reduced from Period 6, then added to Period 7.  When I try to break down the amount by double clicking, I'm not able to find the $0.75 amount in period 7.  There's close to 20 transactions of $6.25 in Period 4 so I can't isolate the problem.  Only our controller has access to change any records from previous periods but this in insignificant as it's subtracting from one period and adding to subsequent period. Our accountant runs this report pretty frequently when it comes to month close so he happened to make a copy on 08/05/13.  This variance seems to have surfaced starting 08/06/13.  I ran a previous data verification on 07/30/13, I usually have to run this process by routine as we have errors on a monthly basis.  Since the recent data verification, I've been getting the following notification I've never seen before: A data verification test previously run on this company data was not completed.  It is strongly recommended that you restore from a more reliable backup. When I look at the data verification logs, everything was completed and the errors were fixed.  This is where things get weird.  I restored from 3 previous backups dated: 8/2/13(day before accountant noticed variance), 7/30/31(data verification backup), & 7/1/31(just for safety measures).  Even from restored companies, the numbers in GL account are still off balance!  I feel as if Sage 50 is handling the GL account wrong.  It's a huge assumption but I really have nothing else to go on here. Any ideas or suggestions? Charles
